Transylvania University invites applications for a Payroll Manager.  The Payroll Manager oversees and executes all administrative functions involved in the timely processing of accurate payrolls and payment of payroll taxes and employee benefit invoices. 

Essential Duties

  • Oversee daily workflow of payroll including:
    • New hires, terminations and changes
    • Code biweekly timesheets to ensure proper payment of non-exempt and work study employees
    • Track salaries and stipends to ensure the proper payment of faculty and exempt staff, adjunct faculty, part-time exempt staff and supplemental pays
    • Ensure salaries and wages are allocated to the appropriate account(s)
    • Prorate pay when appropriate
    • Process out of cycle pays as needed
    • Process wage garnishments 
  • Maintain accurate records and reports of payroll transactions and employee payroll files.
  • Facilitate annual onboarding of new federal work study employees with Financial Aid Office
  • Train supervisors and employees to use payroll self-services system, especially time and attendance for hourly employees and leave reporting for salaried employees
  • Resolve any leave accrual issues and process leave requests
  • Resolve employees’ payroll issues or requests in a timely and confidential manner
  • Balance quarterly payroll reports to monthly recap report to ensure data integrity for federal, state and local tax reporting
  • Prepare and remit payroll tax and benefit payments
  • Maintain shared payroll calendar including documenting deadlines to ensure timely payment of employees, bank transmission of payroll, retirement contributions, and tax payments for each payroll cycle
  • Prepare external wage reporting for federal state and local payroll tax returns, e.g. 941, K-1/3/5, LFUCG, FCPS, etc. and annual IRS form W-2
  • Coordinate annual 403(b) audit and workers compensation audit, including collecting all certificates of liability insurance from all contractors
  • Maintain payroll system tables, upgrades, patches, and enhancements including, but not limited to:
    • Payroll schedules
    • Tax tables
    • Earnings limits
  • Maintain confidentiality pertaining to employee compensation, benefits, and deductions
  • Ensure compliance with all federal, state and local laws, university policy, and plan documents
  • Remain current in applicable payroll law, policy and regulations through self-directed professional reading and development courses
  • Prepare management reports as needed including, but not limited to:
    • Annual audit
    • Budget
    • IPEDS
    • Ad hoc earnings, leave, benefits and deductions reports

Education and Experience

Associates degree in accounting or business administration with an emphasis in accounting plus two years of accounting experience or a Bachelor’s degree in accounting or related field required.  Extensive knowledge of the payroll function including preparation, balancing, internal control and payroll taxes.  Excellent organizational, analytical, and problem-solving skills; exceptional attention to detail.  Proficiency with Excel. Experience with Colleague is a plus.
