Transylvania Univeristy invites applications for Executive Assistant to the Executive Vice President/Chief Financial Officer. The Executive Assistant to the EVP/CFO provides comprehensive administrative and organizational support to the EVP/CFO and Finance Division at Transylvania University. This position manages calendars, communications, project tracking, and Board-related preparations while ensuring the effective and efficient operation of the EVP/CFO’s office. The Executive Assistant serves as a trusted liaison for internal and external stakeholders, exercising discretion, professionalism, and initiative in a fast-paced, complex environment.

Essential Duties:

  • Serve as a point of contact for the EVP/CFO, managing communication flow with internal and external stakeholders, drafting correspondence, and ensuring timely responses.
  • Provide daily executive support, including drafting and preparing correspondence, presentations, reports, and meeting minutes (such as Cabinet updates, trustee and campus communications, budget communications, and financial package distributions).
  • Manage the EVP/CFO’s calendar, scheduling appointments and coordinating meetings, including logistics, materials, and follow-up.
  • Assist with the coordination and tracking of key Finance Division projects and strategic initiatives, ensuring deadlines and deliverables are met.
  • Prepare and process travel arrangements, authorizations, and expense reports for the EVP/CFO.
    Organize and prepare materials for Board of Trustees and committee meetings, as well as leadership team discussions, in collaboration with the President’s Office and EVP/CFO.
  • Assist with budget monitoring, invoice processing, and financial tracking for the EVP/CFO’s office and related operations.
  • Maintain records and filing systems (electronic and paper), ensuring accuracy, retention, and accessibility.
  • Review correspondence and documents prepared by other offices for the EVP/CFO’s signature, checking for completeness and accuracy.
  • Support policy and procedure review cycles as directed by the EVP/CFO.
  • Work collaboratively with colleagues across campus to coordinate efforts, support initiatives, and ensure effective communication.
  • Handle sensitive and confidential information with the highest level of discretion.
  • Contribute to the overall success of the university by performing other essential duties as assigned. 

Education and Experience

Required:

  • Associate’s degree in business administration, management, or related field; or equivalent combination of education and experience.
  • At least five years of administrative experience, including support for senior level leadership
  • Strong organizational and time-management skills with the ability to prioritize multiple tasks.
  • Evidence of superior oral, written and interpersonal communication skills.
    Evidence of confidentiality and discretion: Handling sensitive information with utmost confidentiality and exercising sound judgment in all interactions.
  • Evidence of building and maintaining strong relationships with internal teams and external contacts. 
  • Evidence of collaborating with various departments to ensure efficient operations and clear communication. 

Preferred:

  • Bachelor’s degree in business administration, communications, or related field
  • Experience in higher education or nonprofit administration
  • Familiarity with financial reporting or budget processes
  • Experience supporting Board or Executive level committees
