, ,Transylvania University invites applications for a University Events Manager. The University Events Manager will be principally responsible for coordinating the logistical arrangements for university-level events, especially signature/marquee events that both support and elevate the institutional brand and mission, originating from the President’s Office, Advancement, Marketing and Communications, and Athletics. This position will also assist with events originating from the Academic Affairs office, the Student Life office and the Admissions office as requested.
Through the oversight of on and off campus events, the University Events Manager (UEM) will foster relationships with internal and external stakeholders, vendors and community partners while supporting university strategic initiatives. The university event manager ensures events and outreach align with institutional goals, manages communications with internal and external stakeholders, and develops strategies for successful event execution and engagement.
The ideal candidate will have a proven track record in successfully planning and executing large-scale events, building strong partnerships with stakeholders, and implementing effective event communication strategies. An understanding of the university’s mission and values is necessary to effectively represent the institution as needed. Additionally, the candidate should have experience working with diverse teams and managing multiple projects simultaneously.
Essential Duties and Responsibilities:
The University Events Manager (UEM) will be principally responsible for coordinating the logistical arrangements for university-level events originating from the President’s Office, Advancement, Marketing and Communications, and Athletics. This includes, but is not limited to:
● Dinners, receptions and other events at the President’s House, the President’s Office and hosted on campus by the President;
● Events for the Board of Trustees and the Board of Regents;
● Traditional or singular events at the direction of the President such as the Holiday Party, the University Awards Luncheon, and events related to the 250th Observance.
● Events originating from the Advancement office such as Alumni Weekend, Alumni Board meetings, Young Alumni Council meetings, Barr Society events, and other events for alumni and their guests on campus or in other venues off-campus in other cities and states.
● University-level events hosted by Athletics (not including games/matches and other competitions) such as the Hall of Fame event, the RAFY Awards, and the “First Pitch” baseball dinner.
● Other campus and community events such as PumpkinMania and the Patriotic Concert.
The UEM will also be responsible for assisting and supporting current staff with logistical arrangements for events:
● Originating from the Academic Affairs office including but not limited to commencement, convocation, academic awards ceremonies, the Kenan lecture, and other events as requested.
● Originating from the Student Life office including but not limited to Orientation and Senior Week events.
● Hosted by Admissions such as preview days and other events for prospective students and their families on campus or in other venues in other cities and states.
In all instances, the incumbent is not responsible for the content of events but will coordinate with the appropriate office to ensure all logistical and technical elements are in place to deliver the event to the needs and expectations of the office responsible for that event. These elements may include but are not limited to:
● Reserving appropriate facilities and working with the appropriate offices and vendors to design and implement the set-up needed (seating, staging, audiovisual needs, signage, food and beverage menu and service).
● Working with facilities, public safety, marketing and communications and other appropriate offices and vendors to ensure proper planning and implementation of parking, traffic and pedestrian assistance, media assistance, and other aspects that may be needed.
● Working with the appropriate offices responsible for each event to develop and manage the budget for the event.
● Conducting event evaluations and compiling reports for continuous improvement. Maintaining consistent documentation and records for each event.
● Supporting high-level university initiatives, including milestone events such as the 250th anniversary in 2030 and the William T. Young Scholarship program recognition with communication, event promotion and management, and collaboration with departments across campus.
● This position will require occasional travel, as well as evening and weekend work as scheduled.
Education and Experience:
● An earned bachelor’s degree is strongly preferred; an associate’s degree will be considered.
● Three years of related experience in higher education is preferred and five years overall experience in event management is strongly preferred.
● Strong leadership, collaborative team management, and project management abilities.
● Excellent organizational and multitasking skills, with the ability to perform under pressure and make critical decisions.
● Proven experience in event planning, community engagement, and communications.
● Financial acumen for managing event budgets.
● Exceptional verbal and written communication skills, including public speaking.
● Experience with implementing marketing and communication elements.
● Familiarity with fundraising practices.
● Strong analytical and problem-solving skills.
● Adaptability and active listening in dynamic environments.
